Post-Closing Trailing Docs Tracker

Chase the recorded mortgage, final title policy and original note after funding

Free, and about thirty seconds: a work email and a six-digit code.

What this skill does

Makes sure a funded loan actually gets finished. It tracks the recorded mortgage or deed of trust, the final title policy, the original note, insurance and servicing setup, checks each for defects as it arrives, and chases whatever is late. Follow-ups are drafts, never sent for you.

What it does

  • Builds the list of documents still owed after funding for each loan, based on the transaction
  • Checks what arrives: the right county and pages recorded, every promised title endorsement issued, a complete chain of signatures on the note
  • Tracks how late each item is against expected dates you can set
  • Raises real credit risks at once: an unrecorded lien, a missing original note, insurance not in force
  • Drafts one follow-up per party covering all their loans, firmer as items age

When to use it

  • A loan has funded and the file is not complete
  • An investor, credit-line lender or auditor asks for the full loan file
  • Your weekly or monthly post-closing review
  • Before selling or pledging a loan

What to have ready

  • The funded loans with funding dates, county and state
  • What has been received since closing, with dates
  • The title pro forma or closing instructions, if you have them
  • Any conditions allowed after funding, with deadlines

How to use it

  1. Download it with the button above. You'll sign in with a work email — that's how the creator knows who is using their skill.
  2. Copy the install prompt from the "Run it in Claude" box, and paste it into Claude along with the file. Claude installs the skill, fills in your firm's details where the file has [BRACKETED] placeholders, and runs a quick test with you.
  3. Then just ask in plain English. Claude picks the skill up on its own when a request matches it. Anything it still needs, it asks you for — it won't invent a number.

"Here are the loans we funded in [MONTH] and what's come back from title. What's still outstanding, what's late, and draft the follow-ups."

What you get back

A report with the urgent risks first, a tracker for every loan and item, an aging summary, draft follow-ups per party, and a list of loan files that are complete.

Good to know

  • Output quality tracks input quality. A missing figure is flagged as missing — it is never estimated to fill a gap.
  • Every draft is a starting point for your own review, not a finished decision.
  • Runs anywhere Claude does: the Claude app, Claude Desktop, or Claude Code.
  • Borrower financial details are kept out of messages to title, insurance agents and custodians. Questions about lien priority or a missing original note go to your attorney.

Legal disclaimer

This skill drafts; it does not decide. Its output is not legal, tax, accounting, appraisal, or investment advice, and using it creates no attorney-client, fiduciary, or advisory relationship. Nothing it produces is a commitment to lend or an offer to sell a security. Verify every number, date, citation, and conclusion against the source documents, and have a qualified professional licensed in the relevant jurisdiction review the work before you rely on it or send it to a borrower, investor, counterparty, or regulator. Skill name
post-closing-trailing-docs-tracker
What it does
Use after a private loan funds, when recorded documents, the final title policy, original note and other trailing items are still outstanding.
When it runs
Trigger on "trailing docs," "post-closing checklist," "has the deed of trust recorded," "we still don't have the final title policy," "where is the original note," "chase the recorded mortgage," "post-closing conditions," "collateral file is incomplete," "the investor wants the collateral file," "aging report on trailing documents," "insurance renewal tracking," "was the loan boarded," or when a funded-loans list or closing package is attached and the file is not yet complete. Builds a trailing-document tracker per loan, checks each received item for the usual defects, ages what is outstanding, escalates priority risks such as an unrecorded lien, and drafts follow-ups per party. Draft-only — never sends.
What you give it
[funded loan(s) with funding dates] [what has been received since closing]

Post-Closing Trailing Documents Tracker

A loan that has funded is not finished. Until the security instrument is recorded, the lender's lien is exposed to anything that records first. Until the final title policy arrives, nobody has checked that the endorsements promised at closing were actually issued. Until the original note is in the vault with a clean endorsement chain, the loan is hard to sell, pledge or enforce. Trailing documents are easy to forget because nothing forces the issue — until an investor, a warehouse lender, an auditor or a foreclosure attorney asks for the collateral file. This skill tracks every trailing item, checks what arrives, and chases what does not.

It works for single loans or a whole funded pipeline, for any private loan type.

Where it fits: loan-closing-checklist-builder and loan-conditions-chaser cover the file up to funding; servicing-setup builds the servicer boarding package. This skill covers everything that must arrive or be set up after funding, including confirming the boarding happened.

Follow-up messages are drafts the user sends. Questions about lien priority, re-recording or curative documents go to the lender's attorney and title underwriter.
